How To Exhibit
Deposits
Separate deposits are required with each Application Form and will cover all events booked in that series. This sum will be deducted from your invoice for the last event booked in that series. You will be invoiced for the balance six weeks prior to each event and this must be paid by the date shown.
When you have sent your Application Form in you may still request additional events at any time and, as long as we still hold a Rolling Deposit from you for that series of events, no further deposit payment will be requested. However, should you wish to book into a different series of events, a new deposit will be required upon booking.
You will lose your deposit if you cancel a booking once it has been confirmed. We will then require a replacement deposit in order to secure your remaining bookings.

Stand Information
There are five types of stand space you may book (not all available at every event, see individual Application Form).
1. Open Space – Outdoor space on grass
2. Inside Space – Summer events in pavilion on grass, Winter events in pavilion with wooden flooring, carpet, heating and overhead lighting
3. Shell Scheme – Summer events in pavilion with wooden flooring and carpet, Winter events in pavilion with wooden flooring, carpet, heating and overhead lighting
4. Private Pavilion – 5x5m clearspan metal structure on grass
5. Shedding - 3m frontage x 6m depth aluminium framed tent placed on a grassed area with 3m frontage and a depth of 15m.
Please ensure you indicate the size of the stand space required in the Front x Depth column and tick the relevant type of space on the Application Form.
You may request a stand position with one, two or three sides open. This will be considered sympathetically but is not guaranteed to be available.If you wish to guarantee more than one side open, or any other position in the show, this incurs a premium of £40 per event (with the exception of the Yorkshire Game Fair & Royal Country Game Fair where the premium differs). Please tick the relevant column on the Application Form if you wish to guarantee your position.

Minimum frontage for stand space in pavilions is 3m, except Live Crafts Shows where the traditional 2.5m (8’) will be maintained.

Book more than 3m frontage in a pavilion or more than 6m frontage of open space and the cost per metre frontage reduces to the second price shown.

Basic stand space prices do not incur VAT
|
Please be sure all space booked is sufficient to include your own access, stand space, vehicle (if applicable) and any additional equipment you may require. (If you book 6m and your vehicle is 10m it won’t fit!) Open space does not automatically include space for your vehicle/caravan unless clearly stated. Vehicles/caravans to the rear of your stand space does not apply to Chilterns Festivals of Food, Live Crafts Shows or Live Crafts & Gifts for Christmas Fairs. If applicable please indicate on the Application Form whether you wish to have your vehicle and/or caravan in your stand space. Otherwise exhibitor parking and caravanning is available elsewhere on site.
Ancillary Items
Any Ancillary Items required must be booked no later than two weeks prior to the event. Prices shown on Application Forms.
